What Location Data We Collect
When you use the Trackit Assessment application, we collect and process location information to provide essential features of our Service. The types of location data we collect include:
- Precise Location Data (GPS coordinates): We collect exact latitude and longitude coordinates from your device's GPS sensor when you use assessment and tracking features.
- Approximate Location Data: We may collect approximate location based on network triangulation, Wi-Fi access points, and cell tower information.
- Location History: We maintain a record of your location data collected during assessment sessions and while live tracking is enabled.
- Geocoded Address Information: We convert GPS coordinates into human-readable addresses using geocoding services.
How We Collect Location Data
Location data is collected through the following mechanisms:
Foreground Collection: When you actively use the app during assessments, we collect your location to:
- Record GPS coordinates during field assessments and driver evaluations
- Display your current location on interactive maps
- Associate location data with assessment events and observations
- Enable location-based search and address selection features
Background Collection: With your explicit permission, we collect location data even when the app is not actively in use or when your device screen is locked. Background location collection occurs to:
- Provide continuous live tracking for employer monitoring and safety purposes
- Maintain real-time location updates for supervisors and dispatchers
- Record route and movement data during active work sessions
- Ensure accurate tracking of field activities throughout your work shift
Important: Background location access requires your explicit consent. You will be prompted to grant "Allow all the time" permission, which enables location tracking even when you're not actively using the app.
Why We Collect Location Data
We collect location information for the following specific purposes:
- Assessment Documentation: To record the geographic location where assessments, inspections, and evaluations are conducted, providing verification and context for work performed.
- Live Employee Tracking: To enable real-time monitoring of employee locations during work hours, allowing supervisors to view current positions on a map dashboard for safety, coordination, and dispatch purposes.
- Route Recording: To capture and store travel routes, distances, and timestamps during field work sessions.
- Map Services: To display interactive maps, enable address search, allow location selection by dragging map markers, and show nearby points of interest.
- Geofencing & Alerts: To trigger location-based notifications and verify that work is being performed at designated sites.
- Performance Analytics: To analyze travel patterns, optimize routes, and improve operational efficiency.
How Location Data is Shared
Your location data may be shared with:
- Your Employer/Organization: Real-time and historical location data is transmitted to your employer's Trackit Manager platform for workforce management, safety monitoring, and compliance purposes.
- Cloud Service Providers: Location data is uploaded to our secure servers (including Firebase Realtime Database and Amazon Web Services S3) for storage, processing, and delivery to authorized users within your organization.
- Third-Party Services: Location coordinates may be processed by Google Maps Platform for geocoding, reverse geocoding, and map display services.
We do NOT sell your location data to third parties for advertising or marketing purposes.
Data Retention
- Active Location Data: Location data collected during ongoing sessions is retained for the duration of your employment or until your employer deletes the records.
- Assessment Records: Location data associated with completed assessments is stored indefinitely as part of compliance and audit records, unless your employer implements specific retention policies.
- Deletion Requests: You may request deletion of your personal location data by contacting your employer or our support team at [support email]. Note that certain records may be retained as required by law or legitimate business purposes.
Your Control and Choices
You have the following options to control location data collection:
- Grant or Deny Permissions: You can grant or deny location permissions when prompted by the app. Denying location access will limit certain features of the application.
- Change Permission Settings: You can modify location permissions at any time through your device settings:
- Android: Settings ? Apps ? Trackit Assessment ? Permissions ? Location
- Choose "Allow only while using the app," "Ask every time," or "Don't allow"
- Disable Background Tracking: You can revoke background location access through device settings, though this will prevent real-time tracking features from functioning.
- App Uninstallation: Uninstalling the app will stop all future location data collection from your device.
Note: Location tracking is typically required by your employer as a condition of employment for field-based positions. Disabling location services may affect your ability to perform job duties or access certain app features. Please consult your employer's policies regarding location tracking requirements.
Security Measures
We implement industry-standard security measures to protect your location data:

Usage Data
In addition to location information, we automatically collect usage data when you use the Service.

Your information, including Personal Data, is processed to provide service at the Company's operating offices and in any other places where the parties involved in the processing are located. This information may be transferred to and maintained on computers located outside of Your state, province, country or other governmental jurisdiction where the data protection laws may differ from those of Your jurisdiction.
Transfers to the United States: Our cloud service providers, including Amazon Web Services (AWS) and Google Firebase, store and process data primarily in the United States. By using the Service, You consent to this transfer.
For Canadian Users: If You are located in Canada, data transferred outside Canada (including to the United States) is protected by contractual safeguards requiring recipients to provide comparable protection to that required under Canadian privacy law. Trackit LLC remains accountable for all Personal Data transferred to third-party processors, in accordance with the accountability principle under PIPEDA. Where You are located in Quebec, prior to any cross-border transfer we conduct a Privacy Impact Assessment (PIA) to ensure the recipient jurisdiction provides adequate protection, as required under Quebec Law 25.
The Company will take all steps reasonably necessary to ensure that Your data is treated securely and in accordance with this Privacy Policy and no transfer of Your Personal Data will take place to an organization or a country unless there are adequate controls in place.
Disclosure of Your Personal Data
Business Transactions
If the Company is involved in a merger, acquisition or asset sale, Your Personal Data may be transferred. We will provide notice before Your Personal Data is transferred and becomes subject to a different Privacy Policy.

The security of Your Personal Data is important to Us, but remember that no method of transmission over the Internet, or method of electronic storage is 100% secure. While We strive to use commercially acceptable means to protect Your Personal Data, We cannot guarantee its absolute security.

If You are located in Canada, the collection, use, and disclosure of Your Personal Information is governed by Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and, where applicable, provincial privacy legislation including Quebec’s Act Respecting the Protection of Personal Information in the Private Sector (Law 25) and the privacy acts of British Columbia and Alberta.

Note that where location tracking is a condition of employment, withdrawal may affect Your ability to perform certain job duties.
- Right to File a Complaint: If You believe we have not complied with applicable Canadian privacy law, You may contact the Office of the Privacy Commissioner of Canada (OPC) at www.priv.gc.ca. Quebec residents may also contact the Commission d’accès à l’information (CAI) at www.cai.quebec.ca.
Consent
We obtain Your consent before or at the time of collecting Personal Information, except where the law permits or requires otherwise. For sensitive data such as precise GPS location and background location tracking, we obtain express consent. You will always be informed of the purposes for which data is collected at or before the time of collection.

Data Breach Notification
In the event of a breach of security safeguards involving Personal Information under our control that creates a real risk of significant harm to individuals, we will:
- Notify the Office of the Privacy Commissioner of Canada (OPC) as soon as feasible (required under PIPEDA for Canadian users).
- Notify affected individuals directly in plain language, describing the breach, the information involved, steps taken to reduce risk, and steps individuals can take to protect themselves.
- For Quebec residents: also notify the Commission d’accès à l’information (CAI) as required under Quebec Law 25.
- Maintain a record of all breaches for a minimum of 24 months from the date the breach was determined to have occurred.
We will notify the primary account contact of the Trackit Service organization prior to releasing any data to law enforcement, except where prohibited by law.
Employee Monitoring Disclosure (Canada)
Canadian employers using Trackit to monitor employee location and activity should be aware of the following workplace privacy obligations:
- Ontario: Under the Electronic Monitoring of Employees Act, Ontario employers with 25 or more employees must maintain a written policy on electronic monitoring and must inform employees in writing that monitoring is occurring, what is collected, how it is used, and when it may be disclosed.
- Quebec: Employers must have a legitimate reason for monitoring, must inform employees in advance, and must limit monitoring to what is necessary for the stated purpose.
- All Provinces: Trackit LLC recommends all Canadian employers implement a written workplace monitoring policy and obtain written acknowledgment from employees prior to enabling tracking features.
"Do Not Track" Policy as Required by California Online Privacy Protection Act (CalOPPA)
Our Service does not respond to Do Not Track signals.
However, some third party websites do keep track of Your browsing activities. If You are visiting such websites, You can set Your preferences in Your web browser to inform websites that You do not want to be tracked. You can enable or disable DNT by visiting the preferences or settings page of Your web browser.
Links to Other Websites
Our Service may contain links to other websites that are not operated by Us. If You click on a third party link, You will be directed to that third party's site. We strongly advise You to review the Privacy Policy of every site You visit.
